    Meeting 3 Feedback

Post  BitRunner on Fri Feb 27, 2009 4:28 am

(Maybe we should have a separate thread for meeting feedback?)

Anyway, here's my feedback on Meeting 3...

Discussions about communication seemed to take up a huge segment of time during the meeting I thought, with people debating on whether we should use mics or keyboards. Frankly IMO, I don't think it's that hard to keep up with both if our communication is well structured, and I think that's the huge disconnect here.

I think hands down Blackbible was the most vocal person in the meeting, and to a degree I think that's very good, he's passionate about what he talks about, is very charismatic, and makes solid points, it's definitely something we need. I think it's unrealistic to think though that all of us can bring the same to the table. I know at least as far as I'm concerned, from observing my own behaviors over the years that I tend to do my best as the "right hand man" so to speak (I'll be the first to say I'm definitely not "management material", and don't really want to be it's just not my style).

Right now, in all honesty, I don't really feel that I've got much to contribute at all during these meetings, I just kind of sit in the corner and wonder if anyone hears me if I chat in the midst of large amounts of cross-talking, or reads the text I type when I don't feel that my mic chatting is getting across. After a while of this, I tune out, and yes, I stepped out not once but twice during the meeting for a cigarette, just listening to the commotion on my BT headset.

So... I have a recommendation on that front.

We're starting to do more of a round table seating structure now, and I think it's perfect for this kind of communication. It's very simple, everybody comes prepared to discuss the agenda at the meetings, and when it comes times to go through a topic, we do a 2 pass round table discussion. We go around the room, everyone gets a turn to discuss their views on the topic and the rest of us listen while that person is speaking or typing, and I would ask that we be mindful of time and keep things straight to the point. On the second pass, that's where we make rebuttals to arguments and open up the discussion (at that time we can do cross-talking).

That out of the way, on to my next topic of feedback.

We talked a lot about planning different events (Poker night, Warhawk clans, etc etc). This is very good I think because it helps us keep a strong bond with our members. I think something that would definitely be helpful is for us to have a public Event Calendar for our events (I'm sure there's some opensource tools we can use, I don't know how much we can do within forumotion but I've got a Linux server I can always utilize for a supplemental calendar), that way everyone's on the same page with regular recurring and also special events. We also need something official with our clans, member listing (not just whoever attends the clubhouse meetings), etc.

So, am I on the right page here or am I smoking crack? Thoughts? Opinions? I think if we keep chipping away at this with refinements that we're going to have a really good structure in place that'll help everyone get a chance to participate and will also help us build a stronger foundation as a group.

i know what you mean Bitrunner it is hard to speak over everyone. sometimes a person or two will see what you type or say and may respond back ..
but i thought of an idea in my head last night that we could do as well for a better speaking system ... and i love the coach idea everyone was in one spot and you can see easily what people type and or say on Mic.

I was really hoping that NJB or maybe BB or Anyone else on my list that is not busy can go over my ideas in home on the chat System i thought of.

I think you are on the right page. The meeting went very well and held my interest. I did have some problems with the chatting. On multiple occasions I tried to speak up only to be over spoken by many others getting on to share thier thoughts or comments. For this reason I just sat and listened. Hopefully we can do something for this in the future. BlackBible did voice a lot like you said. I think that is a good thing. Its good to have those that, I would say, hold the meeting. Without people voicing and talking we would just be sitting around.

I would like to be of some benifit to the club if I can. I have been around for a long while now it seems, and seemed to be pretty well known durring the closed beta in the Playstation forums. Then the open beta hit and tons and tons of new people came in and it seemed most of us that were regulars on there got drowned out by this. I am still trying to figure out how I can benifit the club and Home. I have always been for Home and not against it. I see some major potetial for Home. And I want to assist in bringing that potential so all that come on home can enjoy it. The issue I have is my schedual. I was very fortunate last night to be able to join in on the whole meeting. Usually my work and school schedule have kinda blurred out my "life". I have been busy lately. I am going to try and make time for the things I enjoy though. School seems to be calming as the semester gets near the middle. Its hard having night classes as my whole day gets swallowed from work then school. And then there is family life, which I know a lot of you have and can appreciate it also. Enough of my life though. Just know that I am here to help in any way I can.

Yeah it's hard with tons of things constantly in the way. I can't help nearly as much as I want to right now, work is always in the way and if it's not work it's g/f or family. Plus I'm going back hopefully before too long to try and get my masters in IT, my g/f said she'd help me financially once she finishes up her PhD pretty soon.

I agree bit with the Round table idea, in fact i was going to post that idea here today as well lol. I think we need more structure in our meetings so a take turns kind of pattern would work well. The lag just makes it hard to talk openly

I think you are right on point with your communication suggestion bit start the conversatio at one seat and then go around until everyone has had their say.

I would like to have more volunteer's though so far we've only had one preservative and one secretary at a meet. And I know you guys prob realize how hard it can be for one person (preservative) to keep order. thats why you heard me yelling out stopping the conversation when it got out of hand. and I'm sure that when njb releases the meeting notes this afternoon they wont be as detailed as one would like.

I think we need at least three secretaries and two preservatives. and this is somthing teddy mentioned to me before. that way the secretaries could compare notes and co-write the post on meeting notes. with more than one preservatives in the room, less thoughts would go over looked. as you can see i'm an organization geek haha!

What do you guys think about the event calendar suggestion (for recurring game nights and other stuff like the weekly comic book discussion, as well as any special events) and a listing of all of our clans in various games, a published member listing, etc?

I'm not sure how much I can help on the secretary piece (I don't have good capture equipment here and I absolutely suck at note taking). What's entailed in this preservative position?

I like the round table discussion idea. I also had a thought about the expansion of the club as well but i'm still putting thought into it. Here's what I have so far.

Last night Lordmorgren had an idea of more than one meeting a week. With that idea and with Narde's idea of comic book night, what if more that one agenda was created for the week. Example: Tuesday night we're talking comic books, suggestions for Home, etc. Wednesday night we're talking the latest video game release, Home forum drama, etc. The secretaries and preservatives meet up on Thursday night and go over all that was discussed.

Doesn't have to different nights either. Could be different clubs on the same night. Would also need a sign up sheet for which meeting you want to attend. But at least once a month, maybe twice, we would have to find a way for everybody to get together for a convention or party.

    Thoughts are welcomed.

I was thinking how people sat on the couches last night have the Person speak about what's on agenda then spilt people into teams .. soo .. say a couch holds 3 people and their's 5 couches, Have 3 people sit in each and for people who can't sit get them to stand in the back of the couch so lets do the math here say their is .... 30 people totally in a meeting ( not counting speaker so 31 ... the speaker with sit in the middle or stand at the coffee table and bring up a disscussion topic .. then he will say ok Team one .. every one can get a response in on the topic starting with .. ( say NJShadow ) and then ask them to tell them when they are done responding tell them their done and then maybe have the person in the middle comment on it if they have a comment that is, then say ok next person in group 1 ( Jiggy ) what are your thought's on " this or that " and then after go to the next person and get people in the back of the couch ( still in the same gropup one by one ) too respond and when the group is finished go to group 2 then 3 ETC ... and it's not a even number like 30 their's still no issue and while things move along on the same Topic someone can quote someone and say " oh well i think they got a good idea blah blah blah blah blah " and if someone had something tooo say and someone basicly all ready said the same thing all they gotta say is . i was gonna say what so and so said.

if you think it would take too long ... just tell them to not go on and on and on to try to make it short as possible .. but first i wouldn't i would just see how it goes trying this method day one ... so it's oner person at a time and everyone is listning at the same time and no one has to shout over anyone at all everyone stay silent and and not type on keyboard.

so what do you all think .. i think it would work out pretty well
